How do I generate an owner statement?
Generate, review, finalize, and publish a monthly owner statement from Owners > Statements > New.
Purpose
The owner statement is the monthly financial report you send each owner: income earned, expenses incurred, your management fee, and the resulting owner payout. This article covers the full lifecycle — draft, finalize, and publish to the portal.
Who can use this
Admins and accountants with statement permissions. Requires the Owner Statements module (which depends on Finance).
Steps
- 1Go to Owners > Statements (/owners/statements) and click "New statement" (/owners/statements/new).
- 2Select the owner, the property (or properties), and the statement period (usually last month).
- 3Rentivue computes a preview: rental income (rent collected or reservation revenue), expenses (maintenance, cleaning, other charges), and the management fee per the owner's terms.
- 4The beginning balance carries over automatically from the owner's most recent finalized statement, so running balances stay continuous.
- 5Review every line. Amounts come from actual recorded payments, reservations, and expenses — all in exact cents.
- 6Add adjustments if needed (credits, one-off charges) with a clear description; adjustments are audit-logged.
- 7Generate the statement. It is saved as a DRAFT — still editable.
- 8Re-check the draft, ideally by a second person for month-end control.
- 9FINALIZE the statement. This locks the numbers permanently and produces the PDF document. A finalized statement can no longer be edited.
- 10Mark it SENT when you deliver it by email, or
- 11PUBLISH it to the owner portal — only published statements are visible to the owner online.
- 12If you find an error after finalizing, use Revise to supersede it with a corrected statement — the original is preserved for the audit trail.
- 13Record the owner payout under Owners > Payouts when you transfer the funds.
Important notes
- Finalized means locked: no edits, ever. Fix mistakes with Revise, never by workaround.
- Publishing is a separate, deliberate step — finalizing alone does NOT show the statement to the owner.
- The management fee is calculated from the owner/property terms; see "How is the management fee or commission calculated?".

Common mistakes
- Generating a statement before the month's expenses are all recorded — missing costs mean an incorrect payout. See the troubleshooting article "Maintenance cost missing on statement".
