How do I manage sales and owner leads?

Work the owner-acquisition pipeline at Marketing > Owner Leads, from new lead to signed owner.

Purpose

The owner-acquisition pipeline tracks property owners you are trying to win as clients — from first contact to a signed management agreement. This article covers the pipeline stages and converting a won lead into an active owner.

Who can use this

Sales managers, sales agents, and admins with lead permissions. The CRM module must be enabled.

Steps

  1. 1Open Marketing > Owner Leads (/marketing/owner-leads).
  2. 2Click "New lead" and capture the owner's name, contact details, property address if known, and source.
  3. 3Work the lead through the pipeline stages, in order: New lead, Contacted, Address received, Market analysis, Proposal sent, Follow up, Contract sent, Signed, Onboarding, Active owner. A lead can also be marked Lost at any point.
  4. 4Log each touch on the lead's detail page so the history stays complete.
  5. 5Use the Market analysis stage to attach your rent or revenue analysis for the owner's property.
  6. 6Send your proposal and record it by moving the lead to Proposal sent.
  7. 7When the agreement is signed, move the lead to Signed and then Onboarding.
  8. 8Convert the lead to an owner: this creates the owner record so you can add their properties, set portal access, and start managing.
  9. 9The lead reaches Active owner when onboarding is done — it stays in your pipeline history for attribution and reporting.

Important notes

  • Pipeline KPIs count "open" stages (everything except Active owner and Lost).
  • Leads created by your public landing pages and campaigns land in this same pipeline automatically with their source recorded.
  • Converting a lead does not delete it — the lead history remains linked for reporting.

Common mistakes

  • Creating an owner manually instead of converting the lead — you lose the attribution chain.
  • Skipping stages, which makes conversion reporting less useful.
