Invitation email not received

User or owner invites not arriving: spam, wrong address, email provider config, or expired link.

Purpose

You invited a user or an owner and they never got the email. Delivery problems have a short, checkable list of causes.

Possible causes

  • The email went to spam/junk or a quarantine filter.
  • The address on the invite has a typo.
  • Your company's email provider is not configured (or its sending key expired), so mail is not actually going out.
  • The recipient's server rejected the message (corporate filtering).
  • The invite was sent long ago and the link expired — some clients then hide the "old" email.

How to check

  1. 1Ask the recipient to search all mail (including spam) for your company name.
  2. 2Verify the exact email address on the user (Settings > Users) or the owner profile.
  3. 3An admin checks the email provider under Settings > Providers, and the Email Outbox (/email-outbox) to see whether the message was sent, queued, or failed.
  4. 4Check the invite's age — expired links need a re-send anyway.

How to fix

  1. 1Fix any typo in the address, then re-send the invitation (user list or owner Portal access card).
  2. 2If the outbox shows failures: fix the email provider configuration under Settings > Providers, then re-send.
  3. 3Ask the recipient to whitelist your sending address, then re-send.
  4. 4For urgent cases, some invite flows let you copy the invitation link directly and deliver it over another channel — treat that link like a password.

When to contact support

If the outbox shows the email as sent, the address is correct, and repeated re-sends never arrive anywhere (including spam), contact support (category: Login issue) with the recipient address and timestamps.

Important notes

  • Invitation links are single-use and expire for security — always re-send rather than forwarding an old email.
