A maintenance cost is missing on a statement

A repair cost is not on the owner statement: timing, unrecorded cost, wrong property, or locked statement.

Purpose

A repair happened during the statement period, but the owner statement does not show its cost. Statements only include costs that were recorded, on the right property, in the right period, before generation.

Possible causes

  • The cost was never recorded on the maintenance ticket (work done, ticket closed, no amount entered).
  • The cost was recorded AFTER the statement was generated.
  • The expense was recorded with a date outside the statement period.
  • The cost was recorded against the wrong property.
  • The statement was generated as a draft before month-end and never regenerated.
  • The statement is already finalized (locked), so nothing new can flow into it.

How to check

  1. 1Open the maintenance ticket and confirm a cost amount is actually recorded, with its date and property.
  2. 2Open the statement and compare its period against the expense date.
  3. 3Check whether the statement is draft or finalized.
  4. 4Check the property on the expense vs the property on the statement.

How to fix

  1. 1Cost never recorded: record it on the ticket (or as a property expense) with the correct date.
  2. 2Statement still DRAFT: regenerate/refresh the draft so the recomputation picks up the cost, or add it as a documented adjustment.
  3. 3Statement FINALIZED: do not work around the lock. Either use Revise to supersede it with a corrected statement, or include the cost in the next period's statement with a clear adjustment description — follow your accounting policy.
  4. 4Wrong property: correct the expense's property, then fix the affected statement(s) as above.

When to contact support

If a recorded, in-period, correct-property cost still does not appear in a freshly generated draft, contact support (category: Finance / statement issue) with the ticket and statement ids.

  • Best practice: close out all maintenance costs BEFORE running statements — make it part of your month-end checklist.
